Quotation Generator
Create client quotation PDFs with itemised pricing, tax and validity dates
What is Quotation Generator?
Quotation Generator is a free business tool from Farvixo that lets you create client quotation PDFs with itemised pricing, tax and validity dates. Your business and client details stay in your browser and are never uploaded. The exported document carries no watermark and no branding of ours, so it can be sent to a client exactly as generated.
How to use Quotation Generator
Choose a layout and accent colour, then set the "Valid until" date — a quotation without an expiry can be held against you indefinitely.
Add a line per deliverable with quantity and rate. Discount, tax and shipping are applied in the order an accountant expects, and the totals update as you type.
The preview is the PDF. Download it and send it — your rates and margins never leave the browser.
Frequently Asked Questions
What should a quotation include?
A quotation number and date, both parties' details, an itemised scope with prices, the tax treatment, payment terms, and — most importantly — a validity period. Without an expiry date, a quote you sent last year can still be held against you.
What is the difference between a quotation and an estimate?
A quotation is a firm price you are committing to. An estimate is an informed approximation that may change. Label yours accurately, because clients reasonably treat the two very differently.
Why does the validity period matter so much?
It caps your exposure to cost changes. Materials, exchange rates and your own availability all move. "Valid for 30 days" is standard and lets you re-quote without appearing to renege.
Is my pricing stored anywhere?
No. Everything stays in your browser — which matters, since your rates and margins are exactly the sort of commercial detail that should not be passing through someone else's server.
Can I convert a quotation into an invoice?
Take the same line items into our Invoice Generator once the client accepts. Keeping the quotation number on the invoice makes the paper trail obvious to both sides.

Tips for better results
- Use a consistent numbering sequence across documents — it matters for bookkeeping and for tax filing later.
- Check the tax fields against the rules where you operate; the calculation is only as right as the rate you enter.
- Keep a copy of every document you issue. Nothing is stored here, so the download is your only record.
Common problems and how to fix them
Totals do not add up as expected
Check whether the tax rate should apply per line or to the subtotal, and whether entered prices already include tax.
The logo looks blurry in the PDF
Upload a higher-resolution image. A small web logo scaled up for print will always soften.
Text overflows the layout
A field is longer than the template allows. Shorten the description or move the detail to a notes line.
