Frequently Asked Questions
What is the difference between an estimate and a quotation?
A quotation is a firm price you are committing to; an estimate is an informed approximation that may change once the work is uncovered. Label yours accurately — clients treat the two very differently, and calling an estimate a quote is how trades end up absorbing costs they never agreed to.
How much can an estimate move before I have to warn the client?
That depends on your contract and your jurisdiction; in several places a final bill materially above an estimate is challengeable. The safe practice is to state the tolerance on the document — "final cost may vary by up to 10%" — and to notify in writing before exceeding it, not after.
Should I itemise or give one total?
Itemise. A single figure invites the client to negotiate the whole number. A breakdown lets them see what drives the cost, remove scope instead of squeezing the price, and compare like with like against a competitor.
Why does the validity date matter?
Material prices and your own availability move. Without an expiry, an estimate you sent six months ago can be accepted today at last year's prices. Thirty days is the usual default.
Should an estimate include tax?
Show it as a separate line rather than folding it into the prices. Clients who can reclaim it want to see it, and clients who cannot need to know the real total before they agree.
Can I turn an accepted estimate into an invoice?
Carry the same line items into the Invoice Generator and reference the estimate number on it. The paper trail from estimate to invoice is what makes a disputed final bill straightforward to defend.
Is my pricing stored anywhere?
No. Everything is generated in your browser. Your labour rates and margins are exactly the sort of detail that should not pass through someone else's server.

Common problems and how to fix them
Totals do not add up as expected
Check whether the tax rate should apply per line or to the subtotal, and whether entered prices already include tax.
The logo looks blurry in the PDF
Upload a higher-resolution image. A small web logo scaled up for print will always soften.
Text overflows the layout
