What is Purchase Order Generator?

Purchase Order Generator is a free business tool from Farvixo that lets you issue numbered purchase orders to suppliers with delivery dates and line-item pricing. Your business and client details stay in your browser and are never uploaded. The exported document carries no watermark and no branding of ours, so it can be sent to a client exactly as generated.

How to use Purchase Order Generator

1Enter your company and the supplier

Your details go in "Your business" and the vendor in "Supplier". Save your side as the default — every future PO starts pre-filled.

2Add the order lines and delivery date

One line per item with quantity and agreed unit price. Set "Delivery by" so the expected date is on the document rather than in an email thread.

3Number it and send

Keep a sequential PO number — it is the reference the supplier quotes on their invoice and the key to three-way matching later. Check the preview and download.

Frequently Asked Questions

What is a purchase order actually for?

It converts a verbal or emailed agreement into a numbered document both sides can point at. Once the supplier accepts it, the PO is a contract: agreed items, agreed quantities, agreed prices, agreed delivery date. Most disputes about "what we ordered" exist because nobody issued one.

What is three-way matching?

Accounts payable check the purchase order, the goods-received note and the supplier invoice against each other before paying. All three must agree on quantity and price. It is the standard control against overbilling, and it only works if the PO number is on the invoice — which is why the default note asks the supplier to quote it.

How should I number purchase orders?

Sequentially, with no gaps, and never reuse a number. A prefix plus year plus running count — PO-2026-0043 — sorts correctly and makes the year obvious at a glance. Gaps in the sequence are the first thing an auditor asks about.

Is a purchase order legally binding?

It becomes binding when the supplier accepts it, either explicitly or by starting to fulfil it. Before acceptance it is an offer. This is why the terms field matters — anything you want to be part of the contract must be on the document, not agreed separately by phone.

What is the difference between a PO and an invoice?

The buyer issues the purchase order to say what they want; the seller issues the invoice to ask for payment for what they supplied. They flow in opposite directions and should reference each other.

Can I include tax on a purchase order?

Yes, and you generally should when the supplier is registered, so the expected total matches what their invoice will show. Set the rate and, for Indian intra-state supply, the CGST + SGST split.

Are purchase orders stored on your servers?

No. The document is built entirely in your browser. Supplier pricing is commercially sensitive and never leaves your machine.

Tips for better results

  • Use a consistent numbering sequence across documents — it matters for bookkeeping and for tax filing later.
  • Check the tax fields against the rules where you operate; the calculation is only as right as the rate you enter.
  • Keep a copy of every document you issue. Nothing is stored here, so the download is your only record.

Common problems and how to fix them

Totals do not add up as expected

Check whether the tax rate should apply per line or to the subtotal, and whether entered prices already include tax.

The logo looks blurry in the PDF

Upload a higher-resolution image. A small web logo scaled up for print will always soften.

Text overflows the layout

A field is longer than the template allows. Shorten the description or move the detail to a notes line.
