1Reference the original invoice

Put the invoice number you are correcting in the "Against invoice" field. A credit note that does not name its invoice is almost useless to the customer's accounts team and to an auditor.

What is a credit note?

A document that reduces what a customer owes on an invoice already issued. Goods came back, the quantity was wrong, a discount was agreed after the fact, or the price on the invoice was too high. It is the correct instrument for all of those — editing or reissuing the original invoice is not.

Why can I not just cancel and reissue the invoice?

Once an invoice has been issued and reported, it is part of a numbered sequence and, where tax applies, part of a filed return. Deleting it breaks the sequence and the return. A credit note leaves the audit trail intact and shows what changed and when — which is exactly what a tax authority wants to see.

What is the difference between a credit note and a debit note?

A credit note reduces the amount the customer owes; a debit note increases it. If you undercharged, you issue a debit note (or a supplementary invoice). Same mechanism, opposite direction.

How does the tax reverse?

At the same rate the original invoice used. If the invoice charged 18% split as 9% CGST and 9% SGST, the credit note reverses in the same proportions. Applying a different rate leaves a mismatch that surfaces in reconciliation.

Is there a deadline for issuing one under GST?

For the tax adjustment to be claimable there is a time limit tied to the annual return and the following September — the exact cut-off has moved between amendments, so check the rule current for your period. After it, you can still issue a commercial credit note; you just cannot reduce your tax liability with it.

Should credit notes share the invoice number series?

No. Keep a separate sequential series with its own prefix. Mixing them makes both sequences hard to audit and confuses the customer's accounts payable.
