Payslip Generator
Create salary slip PDFs with earnings, deductions, net pay in words and six professional templates
What is Payslip Generator?
Payslip Generator is a free business tool from Farvixo that lets you create salary slip PDFs with earnings, deductions, net pay in words and six professional templates. Your business and client details stay in your browser and are never uploaded. The exported document carries no watermark and no branding of ours, so it can be sent to a client exactly as generated.
How to use Payslip Generator
Add your company name, address and logo, then pick one of six templates. Details saved in the Invoice Generator load here automatically, so most employers only do this once.
Name, employee ID, designation, date of joining, PAN and UAN, plus the pay period, paid days and any loss-of-pay days. Blank fields are simply left off the slip.
Basic, HRA and allowances on the left; PF, professional tax and TDS on the right. "Use a standard salary structure" fills in the usual labels so you only type amounts. Gross, deductions and net update as you go.
The net-pay banner shows the figure and, if you want it, the amount in words. Download the PDF — the salary data was never uploaded anywhere.
Frequently Asked Questions
What must a payslip contain?
Employer name and address, employee name and identifier, the pay period, an itemised list of earnings, an itemised list of deductions, the gross, the total deductions and the net pay. Indian employers are additionally expected to show PF and professional tax separately rather than rolling them into one deduction.
Is an employer legally required to issue payslips?
In India, yes — wage legislation requires employers to give employees a wage slip, and several states set the form it must take. Elsewhere the rule varies but the practical answer is the same: employees need one to rent a flat, apply for a loan or file a return, so not issuing them creates problems regardless of the law.
How is net pay calculated?
Gross earnings minus total deductions. Gross is everything you actually pay the employee — basic, HRA, allowances, bonus. Deductions are what comes out of it: the employee's PF share, professional tax, TDS, insurance, loan recovery. The employer's own PF contribution is a cost to you but is not an employee deduction, so it does not belong in that column.
Why is the amount printed in words?
Because a figure can be altered with a pen and a spelled-out amount cannot. Banks, landlords and loan officers look for it. The tool spells it in lakh and crore for rupees and in millions for other currencies, matching the digit grouping beside it.
What is LOP and how does it show up?
Loss of pay — days in the period that were unpaid, usually unapproved absence or leave taken beyond the balance. The slip shows paid days and LOP days as separate fields so the employee can see why a month is lower than usual. Adjust the earnings amounts yourself; the tool does not pro-rate them for you, because pro-rating rules differ by company.
Should the payslip carry a signature?
Most payroll systems email an unsigned slip with a "computer-generated, does not require a signature" line, which is the default here. If your process needs a physical sign-off, turn that off and switch on the signature line instead — printing both would say two contradictory things on the same page.
Is the salary data uploaded anywhere?
No. Payslips are among the most sensitive documents a company produces, and the entire PDF is built in your browser. Nothing is transmitted, logged or stored on our side.
Can I generate payslips for a whole team at once?
Not in one pass — this tool produces one slip at a time. Your employer details, logo and template persist between slips, so the repeated part is already filled in and you are only changing the employee and the amounts.
Will Hindi or Bengali names print correctly?
No. The PDF uses the standard fonts, which cover Latin scripts only. The tool lists the exact characters it will drop before you download, so you can type the name in English rather than discovering a blank field later.

Tips for better results
- Use a consistent numbering sequence across documents — it matters for bookkeeping and for tax filing later.
- Check the tax fields against the rules where you operate; the calculation is only as right as the rate you enter.
- Keep a copy of every document you issue. Nothing is stored here, so the download is your only record.
Common problems and how to fix them
Totals do not add up as expected
Check whether the tax rate should apply per line or to the subtotal, and whether entered prices already include tax.
The logo looks blurry in the PDF
Upload a higher-resolution image. A small web logo scaled up for print will always soften.
Text overflows the layout
A field is longer than the template allows. Shorten the description or move the detail to a notes line.
